Digital Security for Marketing Teams

Digital Security for Marketing Teams

Marketing teams have never had more access

More platforms. More logins. More client data. More integrations and more people accessing sensitive information every single day.

And while most conversations around security tend to focus on IT departments and cybersecurity teams, the reality is that marketing departments now sit at the centre of huge volumes of commercially sensitive data, making them high-value targets. Especially since, unlike traditional IT environments, marketing ecosystems often change and develop quickly and organically when:

  • New software gets added.
  • Freelancers require access.
  • Clients need visibility.
  • Temporary accounts become permanent.
  • Shared logins become “normal”.

It’s no secret by now that most security breaches don’t happen because someone has hacked the system; they happen because somebody has let them in by accident. Whether through a reused password, shared credentials, or something else entirely, marketing teams should be increasingly aware of how to work securely and in compliance with protection laws.

At Monitor, we work across websites, CRM integrations, digital campaigns and content platforms every day, so we see first-hand how quickly marketing ecosystems can become difficult to manage securely without the right structure and support in place.

What Are Passkeys, and Why Are They Becoming More Common?

Passkeys are a passwordless login method that allows users to sign in using devices they already trust.

Instead of remembering a password, users authenticate using things like:

  • Face ID
  • Fingerprint recognition
  • Device PINs
  • Trusted device approval

Most people already use this behaviour daily without thinking about it, but the reason passkeys matter is that passwords remain one of the biggest security weaknesses across businesses.

Weak passwords, password reuse and phishing attacks are still responsible for a huge proportion of account breaches, and for marketing teams managing multiple cloud-based systems, passkeys can significantly improve protection.

A typical passkey login process is often simpler than traditional two-factor authentication:

  1. Enter email address
  2. Approve via Face ID or fingerprint
  3. Access Granted

But Passkeys aren’t a complete solution as they still require:

  • Clear recovery procedures
  • User onboarding
  • Device management
  • Access governance
  • Platform compatibility reviews

Not every platform fully supports passkeys yet, and many marketing teams still rely on legacy systems or shared access structures.

They’re also less suitable for generic shared accounts, something many agencies and marketing departments still use heavily.

That means the first step often isn’t “implement passkeys everywhere”

Third-Party App Permissions

This is one of the biggest hidden risks in modern marketing tool stacks. Teams regularly connect tools together using integrations:

  • CRM ↔ email platforms
  • Scheduling tools ↔ social platforms
  • Analytics ↔ ad accounts
  • AI tools ↔ internal documents

Over time, businesses accumulate dozens, sometimes hundreds, of connected applications with access to sensitive data. But the problem is that many of these integrations remain active long after they’re needed.

A forgotten integration can become an unexpected entry point into much larger systems, so to prevent this from causing security issues, marketing teams should regularly audit:

  • Which apps have access
  • What permissions they hold
  • Who approved them
  • Whether they’re still required

This is something we regularly review during website and digital marketing projects, particularly where CRMs, automation tools and analytics platforms are heavily integrated into wider business operations.

AI Tool Usage & Data Leakage

The use of AI has moved way past the point of novelty and has been integrated into industry-standard, daily marketing tools, and the type of data that is being inputted is becoming a major security risk for businesses.

Teams are increasingly pasting:

  • Client strategy documents
  • Customer data
  • Campaign plans
  • Internal reports
  • Commercial information

into public AI tools without understanding where that data may end up, or what it is used for.

Even when tools are secure, businesses still need internal governance around:

  • What can be uploaded
  • Which AI platforms are approved
  • Whether personal data is being processed
  • How outputs are reviewed

Marketing departments are often early adopters of AI, which means they also need to lead on responsible usage policies to ensure compliance with data protection laws and GDPR.

Website & CMS Security

Marketing teams often control websites without realising how exposed they can become operationally.

Especially with platforms like WordPress.

Common risks include:

  • Outdated plugins
  • Excessive admin users
  • Weak hosting security
  • No staging environments
  • Poor backup processes

Even simple things like abandoned plugins can create vulnerabilities and leave your site wide open to hackers.

And because websites are frequently connected to CRMs, forms and analytics tools, a compromise can spread much wider than expected.

The good news is that improving website security doesn’t necessarily mean rebuilding everything from scratch. In most cases, it comes down to having the right processes, support and maintenance in place.

That’s why at Monitor, all of our websites come with a full year of support included as standard, with security and long-term maintainability considered from the outset, not added as an afterthought once a site goes live.

Digital security is no longer something that sits separately from marketing operations. From websites and CRMs to AI tools and campaign platforms, marketing teams are managing increasingly complex digital ecosystems every day.

At Monitor Creative, we help businesses build marketing systems that are not only effective and scalable, but practical to manage securely over the long term. Whether that’s through website development, digital strategy, CRM integration or ongoing support, our focus is always on creating platforms and processes that work properly for the people using them.
